Closing the month in five days: the calendar we use
A fast close is not about working harder at month-end. It is about moving the work out of it.

Ruth Mensah

A fast month-end is not about working harder in the first week of the month. It is about moving work out of that week, so that by the time the month ends there is very little left to do.
Most owner-run companies close slowly for the same reason: everything waits for the bank statement, then everything happens at once, and the same two people do it.
Write the calendar down
Start with a single page. List every task that has to happen for the month to close, who owns it, and the working day it is due. Most teams have never seen the whole list in one place, and the list alone usually shows where the days go.
Working day 1: bank, card and payroll accounts reconciled.
Working day 2: sales and purchase ledgers cut off, accruals posted.
Working day 3: stock and work in progress agreed with operations.
Working day 4: review, adjustments and questions answered.
Working day 5: the board pack goes out.
Move work out of month-end
Reconcile the bank weekly instead of monthly. Post accruals as soon as you know about them, not when you remember them. Agree the stock count method once, in writing, so that nobody debates it on working day three.
“If a task can be done before the month ends, it should not be on the month-end list.”

One owner per line
Every task on the calendar has one name next to it. Shared tasks are the ones that slip. When someone is away, the calendar says who covers, so the date does not move.
Review the calendar, not the people
After each close, spend ten minutes on what came in late and why. Change the calendar, not the effort. Within a few months the close settles on the same day each month, and the board meets with numbers that are a week old instead of six.
What changes for the board
When the month closes on working day five, the board meets with last month’s numbers in front of it, not the month before that. Questions get asked while the answers can still change something: a price, a hire, a supplier. The finance team stops working late in the first week, because the work is spread across the month instead of piled at the end of it.
None of this needs new software. It needs one page, one owner per task and the habit of moving work earlier every month.
